Student Contract Agreement
Welcome to Woozelbears. This document details your course booking and provides useful information for you (and
us) prior to you starting your training. Please complete this document in full and return to us.
Bookings and dates agreed are not confirmed until the fees have been paid and the contract is received to
Woozelbears by email.
Woozelbears terms, conditions and important information about our courses
1. Enrolment can be paid via BACS or our payment facility on Moodle
2. You have 14 days from payment to request a full refund. After this time all course fees are non-refundable.
3. If you choose to pay in 4 installments then the fees for practical placements must be paid before bookings and dates for placement can be confirmed. All placement payments are to be made via bank transfer. Our details can be found below. Please use your name as reference of payment.
4. Should you need to cancel or change the date of your placement this can be done so within 8 calender weeks of the placement date. Placement days changed outside of this period will be charged at £240 a day to rearrange.
5. If you fail to attend your practical placement it will be treated as a late cancellation and no refund can be given.
6. All training materials and intellectual property supplied for training are the property of Woozelbears and you are not permitted to copy any material without prior permission.
7. Woozelbears is a certified trademark and all intellectual property remains the property of Woozelbears. Please do not use our photography and logos for your own use.
8. In compliance with GDPR Woozelbears will only use your personal information collected for the purposes of your study and for contacting you in relation to our services.
9. On placement we ask that you wear casual but professional clothing that you don’t mind getting dirty, along with comfortable closed toe footwear during your training. Please remove jewellery in the interests of health and safety. If attending hydrotherapy please bring a set of chest waders to use whilst in the water. We do not have changing room facilities for the use of wet suits. Woozelbears accepts no liability for loss or damage to clothing or personal possessions.
10. You will be given a health and safety talk on your first day. It is your responsibility to make us aware of any disabilities or notable attributes before you attend your course so that we can ensure we meet our health and safety requirements at all times. Failure to do so exempts Woozelbears from any or all liability.
11. Your tutor will provide verbal and written instruction throughout your course which you must follow at all times to maintain our health and safety policy.
12. Training hours are from 9am to 5pm daily. You must complete the correct number of learning hours each day to be able to complete the qualification.
13. You will have a lunch break every day. We recommend you bring a packed lunch.
14. You will be provided with the practical course resources which will contain all the information you need, this will be provided via your online portfolio. However, it is always useful to make additional notes as you go along so we recommend you bring a pen and paper too.
15. We will need to take pictures and videos of you completing treatments and tasks as evidence for your portfolio. Please bring a USB stick to your placement so that your assessor can share the evidence with you so you can upload it to your online portfolio. It is the responsibility of the student to ensure they upload the pictures and videos to complete their qualification assessments.
16. You agree to comply with all Woozelbears and Canine Physio & Fitness General Customer Terms and Conditions and understand our commitments to owners, our staff and our students.
17. Our cancellation policy is outlined below.
All requests for cancellations and/or date transfers must be received in writing and you must receive a response we have received your request to qualify.
Course dates are transferrable with prior agreement, but they must be requested and received 8 weeks in advance of the initial start date.
Training days are non-transferable once your course dates have commenced and you will forfeit any training days you are unable to attend for any reason including sickness or a change in circumstance. You cannot get a refund for cancelled, unused dates once a course has begun. We stress that in order to complete a specific qualification or accreditation, you must undertake the appropriate number of training hours/days required in order to pass. Therefore, days which are missed for any reason will have to be made up if you still wish to gain the qualification or accreditation. Any training days missed can be re-booked at a rate of £200 per day for canine physical training or £240 per day for hydrotherapy in order to successfully complete your course.
Courses must be completed within a 12-month period and any unused training days will be forfeited outside of this time.
The appropriate cancellation charge will apply based on the cost of your booking, as shown below.

No refund will be given - if between 1 and 55 calendar before the date of your placement day(s)

18. Any damage or defacement of equipment should be reported immediately to the Hydrotherapy Tutor. Where damage has been caused via misuse liability for the cost of repair will reside with you.
19. Please note that as a business we have a policy for our customers and students not to ‘friend’ or ‘follow’ individual team members on social media. Therefore, please do not be offended if personal requests are declined. We are happy to share our business pages and like to keep things professional. We feel this is the most appropriate way to manage social media and we advise the same policy for you when you start your new venture. However, we do have a private Woozelbears Student group on Facebook. Please feel free to request to join. This is a friendly chatroom just for our current and past students to share ideas and support each other.
20. Please note the whole of the Woozelbears site is a non-smoking area. However, if you wish to have cigarette breaks please discuss this with your tutor who will advise of permitted areas.
21. We have several local B&Bs and good transport links to our centres. Details of those will be provided for you on booking your placement so that you can plan ahead.
22. We rely on your feedback throughout the course and ask that you inform us as soon as possible if we can make your experience better in any way. We pride ourselves on having a friendly and professional team who can assist you with most requests.
23. On completion of your course we will again ask for feedback via a questionnaire. Your views and reviews are important to us as they help other students decide on the course for them. The only thing we ask is that if you are dissatisfied in any way, you will provide us with the opportunity to discuss improvements so we can address them immediately.24. If you are completing the Level 4 Diploma in Canine Clinical Hydrotherapy Qualification Course, the qualification is a pass or fail and therefore it is important that all the requirements of the course are completed thoroughly with respect to the number of learning hours and days completed. The successful completion if the online assignments and the practical assessments are completed with no major faults or issues. Your tutor will provide regular feedback on your progress and document your learner journey in order for you to successfully complete the qualification. Should you not be able to demonstrate the skills required to meet the requirements of the qualification, then you may be required to train for additional days at the cost of £240 a day. Should the pass requirements be out of reach for any reason and you are unable to complete the qualification, you will receive an ‘In House’ certificate. Once you have completed the course it may take up to 4 weeks for your Tutor to provide feedback and up to 2 months to receive your certificate.
25. Woozelbears operates an Equality and Diversity policy which ensures students, our staff and the general public are not discriminated against for their age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race (including colour, nationality, and ethnic or national origin), religion or belief, sex (gender) and sexual orientation.
26. Woozelbears uses CCTV cameras which are for the purpose of crime prevention and internal use only. Footage from the cameras is strictly prohibited from being distributed and requests to view will be denied (without legal requirement).
27. GDPR and Digital Consent - You agree that by completing the qualification, course or assessment, you may need to video and agree to be videoed and photographed and the evidence will be used as part of the qualification and stored for a minimum of 3 years. The storage of evidence complies with our Terms and Conditions of service including the Privacy Policy.
